# Virtual assistants in Indonesia: duties, finding clients, pay, tax and common scams

- A virtual assistant (VA) helps one or more clients remotely: e-mail, calendars, customer replies, research, social-media posting and simple bookkeeping.
- VAs in Indonesia usually work freelance or on contract, often for clients abroad, and are paid by the hour, by the task or monthly as agreed.
- Indonesian income tax law (Article 4(1), as amended by Law 7/2021) covers income from abroad, so pay from foreign clients must still be reported.
- Genuine clients pay you. Requests for training fees, starter kits, task deposits or account verification fees are signs of a scam.
- Freelancers can register themselves with BPJS Ketenagakerjaan as non-wage-earning participants (Bukan Penerima Upah, BPU).

## What does a virtual assistant do?

A virtual assistant helps one or more clients remotely: managing e-mail and calendars, answering customers, doing research, updating customer records, scheduling social-media posts and helping with simple bookkeeping. Many VAs in Indonesia work freelance or on contract, often for clients abroad. Indonesia's computer operation competency standard (Decree 56/2018) includes units VAs use every day, such as e-mail, internet-based applications and data entry.

- Update customer, order or lead records in the client's system.
- Schedule social-media posts from approved material.

## What do you need to become a virtual assistant?

There is no licence or specific qualification needed to become a virtual assistant. Clients usually judge your written English, accuracy, response time, command of office and online collaboration tools, and your portfolio. You also need a laptop, a stable internet connection and willingness to work around the client's time zone. Indonesia's professional administration standard (Decree 109/2024) includes units on writing short messages and business letters in English that suit VA work.

## What does a typical virtual assistant job description look like?

A clear VA offer names the client or agency, the task list, working or on-call hours, the tools used, the rate and how you will be paid. We wrote the description below ourselves from common advertising patterns. It is not a vacancy from any client. Be suspicious of a VA offer that does not explain the tasks at all but asks you to pay for training or buy equipment.

## How much does a virtual assistant earn?

A virtual assistant's pay depends on the agreement with the client, hourly, per task or monthly, and freelance platforms deduct a service fee from the client's payment. If a company in Indonesia hires you as an employee, PP 36/2021 Article 23(3) bans paying below the minimum wage, which applies to service of under one year (Article 24(1)), except in micro and small businesses, which set wages by agreement (Article 36). ## How can you learn to become a virtual assistant?

Many virtual assistants learn on the job. Helpful routes include the Ministry of Manpower's free vocational training on Skillhub, including information and communication technology and business and management tracks, computer courses at a government training centre (BLK or BPVP), and a degree in any field. Work competency certification is done through certification bodies (LSP) licensed by BNSP. Check carefully any paid VA course that promises clients after you finish.

## How do virtual assistants get paid by foreign clients, and what tax do they owe?

VAs with foreign clients are usually paid through a platform, an international bank transfer or an online payment service, so there are fees and exchange-rate differences to build into your rate. The income is still taxable: Article 4(1) of the Income Tax Law, as amended by Law 7/2021, covers income from Indonesia and from abroad. Report it in your annual tax return through the tax office's Coretax system and follow the official DJP guidance.

## How can you protect yourself from clients who pay late or not at all?

Ask for a written agreement before you start: scope of work, rate, working hours, payment schedule and method, and how either side can end the arrangement. With new clients, use a platform that holds the funds until the work is approved, or ask for payment in advance for each period. Working outside the platform means losing that protection. As a freelancer you can also register yourself with BPJS Ketenagakerjaan as a non-wage-earning participant.

## How do you start safely as a virtual assistant?

Starting safely as a virtual assistant means making sure clients are real, paying nothing to get work and protecting your personal data.

1. Build a portfolio from your own sample work, never from another client's data.
2. Find clients through platforms that hold payment until the work is approved, agencies with a clear identity, or referrals.
3. Refuse offers that ask for training fees, starter kits, account verification or task deposits.
4. Do not accept cheques, credit or parcels to pass on, and never lend your bank account.
5. Use a different password for each client account and turn on two-step verification.

Interview questions for virtual assistant jobs often cover the office software you use, accuracy with data, handling many requests at once, and keeping documents confidential. **Why they ask:** Most administrative work uses spreadsheets, word processing and e-mail every day.

**How to answer:** Name the software and the real tasks you did with it, such as data summaries, letters or reports. Be honest about your level and offer a short test if useful.

**How do you make sure the data you enter is correct?**

**Why they ask:** One data error can upset payments, stock or schedules.

**How to answer:** Explain your habits: matching against the source document, using a checklist or simple formulas, and checking again before sending. Give one example of an error you caught.

**Why they ask:** The employer needs to trust that work gets done without direct supervision.

**How to answer:** Mention the tools you use, the hours you agree to, how you report daily results and the response time you can commit to.

- **Tell me about yourself.** Answer in about a minute: where you are now in work or study, two experiences that matter for this job, then why you applied. Personal matters such as family status are not needed.
- **Why did you apply to this company?** Mention one or two real things you learned from the company's official website, such as its business or services, and link them to your skills.
- **Why are you interested in this role?** Pick two tasks from the job advert, describe similar things you have done, and say which part you most want to grow in.
- **What are your strengths?** Name one or two strengths and give short proof: the situation, what you did and the result.
- **What is your weakness?** Choose a real weakness that is not central to the job, then explain what you are doing to improve it.
- **Tell me about a problem at work or school that you solved.** Use the STAR pattern: Situation, Task, Action, Result. Focus on what you yourself did and what you learned.
- **How do you work in a team, including when people disagree?** Give a real example of listening, explaining your view politely and finding a solution everyone accepted.
- **How do you handle pressure or tight deadlines?** Explain how you set priorities, such as a task list or checking with your supervisor, and give one example of the outcome.
- **Where do you see yourself in two or three years?** Mention the skills you want to master and the responsibility you hope to take on, without promising things you cannot know.
- **What salary do you expect?** First research the pay range for the role and the local minimum wage where you would work. Give a range, then ask whether the figure is gross or net and which allowances apply.
- **When can you start?** Give a realistic date. If you are still employed, mention the notice period in your current contract so you do not break it.
- **Do you have any questions for us?** Ask about the contract type, working hours, base pay and allowances, the next selection step and when results are announced. Ask for the offer in writing.

## Which job scams target virtual assistants?

Work-from-home VA vacancies are often used by scammers. The patterns: paid tasks that require a deposit to unlock the next mission, fees for training, a starter kit or account verification, recruitment through Telegram, and fake overseas clients who send a cheque or credit and then ask you to buy goods or pass on the rest. The US Federal Trade Commission (FTC) stresses that a legitimate employer never asks for this.

## Where can you find virtual assistant clients safely?

VA clients usually come through a portfolio, referrals, VA agencies and freelance platforms. A good platform holds the client's payment until the work is done or approved, and some ban exchanging personal contact details before payment succeeds. **Are VA job offers that ask for a training fee or starter kit genuine?**

Almost never. Indonesia's Ministry of Manpower lists requests for money for administration, training or uniforms as a sign of a fake vacancy, and the US Federal Trade Commission (FTC) warns that people answering work-from-home ads often end up paying for starter kits, training or certifications that are useless. Genuine clients and agencies pay you, not the other way round.

**A client sent me a cheque or credit and asked me to buy goods or transfer the rest. What is this?**

It is a scam pattern. The FTC explains that the cheque eventually bounces, leaving you to repay the money you passed on. In Indonesia, the job platform Glints TapLoker reported in May 2025 an admin applicant who was given access to a company balance to buy goods, received a small commission, then was asked to fund a larger task. Never use anyone's money to buy or forward anything.

**Is a VA's income from foreign clients taxable in Indonesia?**

Yes, it is taxable income. Article 4(1) of the Income Tax Law, as amended by Law 7/2021 on Harmonised Tax Regulations, defines taxable income as any additional economic capacity from Indonesia or from abroad, including payment for work or services. Report it at once to the Indonesia Anti-Scam Centre (IASC) so the funds can be blocked, then file a police report.
