Bank back-office staff in Indonesia: duties, requirements, pay and applying safely
Bank back-office staff handle document checks, clearing, credit admin and reconciliation. Recruiters who charge selection or travel fees are scammers.
Summary
- Bank back-office staff finish the transactions, loan administration, filing and reports that are not completed at the front counter.
- Indonesia's banking operations competency standard (Kepmenakertrans 327/2013) places back-office and credit administration staff at national qualification level V.
- OJK Circular 11/2017 names data entry as an example of support work a commercial bank may outsource; work involving analysis or decisions does not qualify.
- Genuine bank recruitment is free. Being asked to pay for accommodation, transport or an insider's help is a scam sign.
- Never hand an OTP, PIN, ATM card or your bank account to a recruiter, whatever the reason given.

What do bank back-office staff do in Indonesia?
Bank back-office staff handle the work behind the counter: validating transaction documents, processing transfers and book transfers beyond a teller's authority, maintaining account data, administering loans, filing documents, reconciling records and preparing reports. Indonesia's banking operations standard (Kepmenakertrans 327/2013) defines an operation back-office qualification for bank operations staff and a credit operation and administration qualification for loan operations staff.
- Checking that transaction documents are complete and valid before processing.
- Processing transfers, remittances and book transfers beyond a teller's authority.
- Maintaining customer account data, such as data changes and blocks, under bank procedures.
- Handling loan administration: credit files, disbursement, instalment payments and release of collateral.
- Reconciling daily transaction records and resolving differences with a supervisor.
- Filing paper and digital documents so they can be traced during audits.
- Preparing daily, monthly or loan reports in the bank's formats.
- Keeping customer data confidential and working within set limits of authority.
What do you need to become bank back-office staff?
Back-office job ads usually ask for a three-year diploma (D3) or bachelor's degree, careful reading of documents and figures, spreadsheet skills and willingness to work until closing. No professional licence is needed. But Article 40(1) of the Banking Law, as amended by Law 4/2023, requires banks and their affiliated parties, including employees, to keep information on depositors and their deposits confidential.
What does a typical bank back-office staff job description look like?
Back-office ads usually name the unit, such as funding and services operations, loan administration or transfers, and the branch or regional office. The description below is written by us from common ad patterns, not a vacancy from any bank. Minister of Manpower Circular M/6/HK.04/V/2025 point 2 prohibits employers from discriminating on any basis in recruitment. Age limits require the special circumstances and conditions in point 3.
General example, not a vacancy
We wrote this description ourselves from what job ads usually ask for. It is not a vacancy from any company.

- Willingness to be posted to a branch or regional office.

Ministry of Manpower Circular M/6/HK.04/V/2025 bars employers from discriminating on any basis in recruitment. An age requirement is allowed only where the nature of the job genuinely affects ability and it does not remove the chance of work, and the same applies to workers with disabilities. How much do bank back-office staff earn in Indonesia?
Bank back-office pay must be at least the applicable minimum wage (the provincial UMP, or the regency or city UMK where one is set) for workers with less than one year of service; after that it follows the company's pay structure and scale (Government Regulation 36/2021, Articles 23 and 24). KarirAman does not yet show a figure for back-office roles because there are not enough verified vacancies. Ask early on who actually pays your salary.

Which education path leads to a bank back-office job?
The usual path is a D3 diploma or bachelor's degree, for example in accounting, management, banking or business administration, although many ads accept other fields. Indonesia's General Banking competency standard (Kepmenaker 90/2019) lists accounting and administration, including a unit on managing banking administration (recording, storing and reporting documents), under its back-office key function. A certificate from a BNSP-licensed body helps but is rarely required.
Can banks hire back-office staff through outsourcing firms or fixed-term contracts?
A commercial bank may outsource only support work (OJK Regulation 9/POJK.03/2016, Article 4). OJK Circular 11/2017 gives data entry as an example of support work, while work involving analysis, judgement or decisions affecting bank operations does not qualify. If an outsourcing firm employs you, Government Regulation 35/2021 Article 18 makes that firm responsible for your pay and protection. A fixed-term contract (PKWT) lasts at most five years.
Legal status: the Labour Protection Law was approved by the DPR and the Government on 6 October 2026 but has not been promulgated and its text is not public. Until it takes effect, the rules on this page apply.

What is the career path for bank back-office staff?
A common path runs from operations or loan administration staff to senior staff or operations supervisor, then head of operations. Indonesia's banking operations standard places back-office operations staff at national qualification level V and has an Operation Policy & Procedure qualification for the head of bank operations at level VI. Graduates can also apply for staff development programmes that some banks run; make sure the programme is announced on the bank's official careers site and charges no fee.
How do you apply for a bank back-office job safely?
Applying safely means checking that the vacancy is real, paying nothing and keeping your financial data to yourself. The same steps apply to bank admin or loan admin vacancies from outsourcing firms.
- Open the bank's official careers site by typing the address yourself and look for the same vacancy there. For state-owned banks, also check the state-enterprise careers directory.
- Compare the inviting e-mail domain with the bank's official website, letter by letter. A bank we checked tells applicants on its careers page to ignore invitations sent from outside its official domain.
- If the recruiter is an outsourcing firm, check the company name on AHU and ask for a written contract that names your employer.
- Refuse any request to transfer money for a test, accommodation, transport, uniform or an insider's help.
- Never give out an OTP, PIN, ATM card, passbook or mobile banking access.
- If you have already paid, report it to the Indonesia Anti-Scam Centre and file a police report straight away. The Panduan Warga guide to reporting fraud to IASC explains the steps.

What interview questions might you be asked for bank back-office staff jobs?
Interview questions for bank back-office staff jobs often cover accuracy with figures, the accounting software or spreadsheets you use, handling discrepancies, what you would do if asked to change figures, and reporting deadlines. Each example below comes with why it is asked and how to answer it. The Ministry of Manpower warns that an instant chat interview without formal confirmation is one sign of a fake job.
Republika (official statement via media)
General examples written by KarirAman, not questions from any particular company. How to practise: read the question, answer it out loud, then open the guidance to compare.
Questions for this field
How do you make sure the figures in a report are right?
Why they ask: Financial reports drive important decisions, so accuracy comes first.
How to answer: Explain your steps: reconciling with transaction evidence, cross-checking between reports and keeping a traceable record of changes.
Which accounting software or spreadsheets have you used?
Why they ask: The company wants to know how quickly you can work with its systems.
How to answer: Name the programs and tasks, such as journals, bank reconciliations or summary tables. If you have not used their system, explain how you learn a new one.
Tell me about a time you found a discrepancy or a recording error.
Why they ask: How you trace a discrepancy shows persistence and honesty.
How to answer: Use the STAR pattern. Describe how you traced the cause, documented the correction and reported it to your supervisor.
What would you do if you were asked to change figures without a clear basis?
Why they ask: This tests integrity, which matters in finance.
How to answer: Say you would ask for supporting documents, refuse to falsify records and raise the matter through the company's proper channel.
How do you organise your work before month-end closing or a reporting deadline?
Why they ask: Closing periods are busy and deadlines are fixed.
How to answer: Describe your checklist, a schedule worked back from the deadline and the work you prepare early.
Common questions that also come up (12 questions)
-
Tell me about yourself.
Answer in about a minute: where you are now in work or study, two experiences that matter for this job, then why you applied. Personal matters such as family status are not needed.
-
Why did you apply to this company?
Mention one or two real things you learned from the company's official website, such as its business or services, and link them to your skills.
-
Why are you interested in this role?
Pick two tasks from the job advert, describe similar things you have done, and say which part you most want to grow in.
-
What are your strengths?
Name one or two strengths and give short proof: the situation, what you did and the result.
-
What is your weakness?
Choose a real weakness that is not central to the job, then explain what you are doing to improve it.
-
Tell me about a problem at work or school that you solved.
Use the STAR pattern: Situation, Task, Action, Result. Focus on what you yourself did and what you learned.
-
How do you work in a team, including when people disagree?
Give a real example of listening, explaining your view politely and finding a solution everyone accepted.
-
How do you handle pressure or tight deadlines?
Explain how you set priorities, such as a task list or checking with your supervisor, and give one example of the outcome.
-
Where do you see yourself in two or three years?
Mention the skills you want to master and the responsibility you hope to take on, without promising things you cannot know.
-
What salary do you expect?
First research the pay range for the role and the local minimum wage where you would work. Give a range, then ask whether the figure is gross or net and which allowances apply.
-
When can you start?
Give a realistic date. If you are still employed, mention the notice period in your current contract so you do not break it.
-
Do you have any questions for us?
Ask about the contract type, working hours, base pay and allowances, the next selection step and when results are announced. Ask for the offer in writing.

The interview is held in a hotel room, a private house or another closed place that is not an office, or the location keeps changing. An invitation to stay overnight, or any sexual demand, as a condition for being hired or for renewing a contract is also a warning sign.
What to do: Ask for the interview at the office or a public place, tell someone close to you where you are, and leave if you feel unsafe. Sexual demands can be reported to the police or the local manpower office (Disnaker). If you are in danger, call the police.

After the interview you are asked to hand over your original diploma or other original personal documents as a guarantee for the job.
What to do: Ministry of Manpower Circular M/5/HK.04.00/V/2025 bars employers from requiring or holding original diplomas and personal documents as a guarantee for the job. The only exception is a diploma or competency certificate from education or training paid for by the employer under a written employment agreement, and the employer must keep it safe and compensate you if it is damaged or lost. Otherwise, show them for checking, then take them home.

What scams target people looking for bank back-office jobs?
The most common scam is fake recruitment using a big bank's name. In September 2025 a state-owned bank warned that scammers ask applicants to transfer money for accommodation or transport during selection, although the bank charges no fee at all. Scammers also ask for account data, OTPs or PINs, and so-called insiders promise placements for money. All of these are warning signs.

How is back-office work different from a teller and similar careers?
Tellers and customer service staff are front liners who serve customers at the counter, while back-office staff complete the processing behind them. Indonesia's banking operations standard has a back-office unit for third-party fund transactions beyond a front liner's authority, such as time deposits, current accounts, remittances and book transfers. If you prefer figures and reports, accounting staff is close; if you like credit analysis, look at loan officer roles.
Frequently asked questions
What is the difference between bank back-office staff and a teller?
Tellers and customer service staff are front liners who serve customers at the counter. Back-office staff complete the processing behind them: Indonesia's banking operations standard has a back-office unit for third-party fund transactions beyond a front liner's authority, such as time deposits, current accounts, remittances and book transfers, plus a loan administration unit. Read the duties in the ad to see which role is meant.
Can bank back-office jobs be outsourced in Indonesia?
Some can. OJK Regulation 9/POJK.03/2016 lets a commercial bank outsource only support work, and OJK Circular 11/2017 gives data entry as an example. Work that involves analysis, judgement or decisions affecting bank operations does not meet the support-work criteria. The rule covers commercial banks, not rural banks (BPR). Ask who your employer is and who registers you with BPJS.
Do Indonesian banks charge a fee to apply?
No. In September 2025 a state-owned bank said it charges no fee at any stage of recruitment and asked applicants to apply only through its official recruitment site. Indonesia's Ministry of Manpower also says genuine companies never ask applicants for money. If you are asked to pay for a test, accommodation, transport or a uniform, stop and report it.
Can a recruiter ask for my OTP, PIN or bank account number?
Do not give them. OJK warns that job scammers ask for sensitive data linked to financial accounts, and that OTPs, PINs and passwords must never be shared with anyone. The financial intelligence agency PPATK asks the public not to lend or sell their identity or bank accounts to others. A bank recruiting you does not need access to your personal account to run its selection.
What is the four-eyes principle in bank operations?
The four-eyes principle means the person who processes a transaction is not the person who approves it, so each transaction is checked by more than one person. Indonesia's banking operations standard names this separation as the basis for dividing operations work. For back-office staff it means working within clear limits of authority, with transactions above your limit approved by an authorised officer.
Are age limits or 'unmarried' requirements in back-office job ads allowed?
Minister of Manpower Circular M/6/HK.04/V/2025 point 2 prohibits employers from discriminating on any basis in recruitment. Age limits require the special circumstances and conditions in point 3. If you meet the competency requirements you can still apply, and discriminatory ads can be reported to the Ministry of Manpower.
