Purchasing staff in Indonesia: duties, requirements, pay, integrity and applying safely

Purchasing staff buy goods and services for a company: comparing quotes, issuing POs and assessing suppliers. A registration fee to get hired is suspect.

Summary

Medium scam risk
  • Purchasing staff handle company buying: taking requests, comparing supplier quotes, issuing purchase orders and tracking deliveries.
  • Indonesia's Ministry of Manpower has set a procurement SKKNI (Kepmenaker 70/2016) and a supply chain management SKKNI (Kepmenaker 395/2025).
  • The supply chain SKKNI includes units such as preparing an owner's cost estimate, negotiating and applying business ethics.
  • A purchasing vacancy that charges a training or uniform fee is a red flag; the Ministry of Manpower says recruitment fees are almost certainly fraud.
  • OJK's Satgas PASTI notes that job scammers often pose as large companies, then ask for upfront payment or bank account data.

What do you need to become purchasing staff in Indonesia?

Purchasing is not a licensed profession. Adverts usually ask for D3 or bachelor's graduates in management, industrial engineering, accounting or a related field who are careful with numbers, good with spreadsheets and able to negotiate. The Ministry of Manpower has set a procurement SKKNI (Kepmenaker 70/2016) and a supply chain SKKNI (Kepmenaker 395/2025), which can serve as the basis for certification by BNSP-licensed bodies (LSP).

How much do purchasing staff earn in Indonesia?

KarirAman does not show a purchasing staff pay figure yet because no data meets our standard: verified vacancies with a large enough sample, licensed data or an official pay scale. PP 36/2021 Articles 23 and 24 bar employers from paying workers with less than one year of service below the local minimum wage. Ask for pay and allowances in writing before signing a contract.

Which education routes lead to purchasing work?

The usual route is a D3 or bachelor's degree in business administration, management, industrial engineering or logistics, then starting as a purchasing or warehouse admin. Business and management vocational school (SMK) graduates can also start in admin posts. Under PP 10/2018, competency certification follows the SKKNI and is run by BNSP-licensed bodies (LSP), so a procurement or supply chain certificate can help when you apply for senior posts.

How do purchasing staff protect their integrity on the job?

Purchasing staff handle company money, so integrity is a core part of the job. The supply chain SKKNI (Kepmenaker 395/2025) includes units on applying business ethics and assessing supplier performance. In practice, keep every quote comparison, declare personal ties to suppliers, follow company rules on gifts, and check any change to a supplier's bank account through a contact you already know.

What is the career path for purchasing staff?

Purchasing staff usually move up to senior buyer or purchasing supervisor, then purchasing or procurement manager responsible for buying strategy. Common side moves include production and inventory planning, warehouse management or contract management. In retail, the modern retail SKKNI also includes units on carrying out merchandise purchasing and managing suppliers.

What interview questions might you be asked for purchasing staff jobs?

Interview questions for purchasing staff jobs often cover the office software you use, accuracy with data, handling many requests at once, and keeping documents confidential. Each example below comes with why it is asked and how to answer it. The Ministry of Manpower warns that an instant chat interview without formal confirmation is one sign of a fake job.

Questions for this field

Which office software do you know well, and what do you use it for?

Why they ask: Most administrative work uses spreadsheets, word processing and e-mail every day.

How to answer: Name the software and the real tasks you did with it, such as data summaries, letters or reports. Be honest about your level and offer a short test if useful.

How do you make sure the data you enter is correct?

Why they ask: One data error can upset payments, stock or schedules.

How to answer: Explain your habits: matching against the source document, using a checklist or simple formulas, and checking again before sending. Give one example of an error you caught.

How do you handle several requests from different people at once?

Why they ask: Administrative staff often serve several departments with different deadlines.

How to answer: Describe how you order tasks by deadline and impact, keep a list, and ask your supervisor to set priorities when requests clash.

How do you keep documents and other people's personal data confidential?

Why they ask: Administrative roles hold employee, customer or patient data that must not leak.

How to answer: Give concrete steps: opening data only when needed, locking your screen, never sending work documents through personal chat, and following company rules on storing files.

Tell me about a regular report or summary you prepared.

Why they ask: Regular reports show care and consistency.

How to answer: Say what the report was, how often you made it, the tools you used, who relied on it and any improvement you suggested.

How do you compare quotations from several suppliers or customers?

Why they ask: A wrong purchasing or pricing decision hits the company's finances directly.

How to answer: Explain the factors you compare, such as price, quality, delivery time and payment terms, how you document them, and how you avoid conflicts of interest.

Common questions that also come up (12 questions)
  • Tell me about yourself.

Answer in about a minute: where you are now in work or study, two experiences that matter for this job, then why you applied. Personal matters such as family status are not needed.

  • Why did you apply to this company?

Mention one or two real things you learned from the company's official website, such as its business or services, and link them to your skills.

  • Why are you interested in this role?

Pick two tasks from the job advert, describe similar things you have done, and say which part you most want to grow in.

  • What are your strengths?

Name one or two strengths and give short proof: the situation, what you did and the result.

  • What is your weakness?

Choose a real weakness that is not central to the job, then explain what you are doing to improve it.

  • Tell me about a problem at work or school that you solved.

Use the STAR pattern: Situation, Task, Action, Result. Focus on what you yourself did and what you learned.

  • How do you work in a team, including when people disagree?

Give a real example of listening, explaining your view politely and finding a solution everyone accepted.

  • How do you handle pressure or tight deadlines?

Explain how you set priorities, such as a task list or checking with your supervisor, and give one example of the outcome.

  • Where do you see yourself in two or three years?

Mention the skills you want to master and the responsibility you hope to take on, without promising things you cannot know.

  • What salary do you expect?

First research the pay range for the role and the local minimum wage where you would work. Give a range, then ask whether the figure is gross or net and which allowances apply.

  • When can you start?

Give a realistic date. If you are still employed, mention the notice period in your current contract so you do not break it.

  • Do you have any questions for us?

Ask about the contract type, working hours, base pay and allowances, the next selection step and when results are announced. Ask for the offer in writing.

Warning signs in interviews (6)
  • The interview happens only by WhatsApp or Telegram chat with no formal invitation, or you are pushed to be interviewed on the spot.

What to do: Ask for a written invitation from a company-domain e-mail address, then match the contact with the official website you look up yourself.

  • You are asked to pay for a test, a psychological test, a medical check-up, training or a uniform, or to book tickets and a hotel through an appointed agent with a promise of reimbursement.

  • The interview is held in a hotel room, a private house or another closed place that is not an office, or the location keeps changing. An invitation to stay overnight, or any sexual demand, as a condition for being hired or for renewing a contract is also a warning sign.

What to do: Ask for the interview at the office or a public place, tell someone close to you where you are, and leave if you feel unsafe. Sexual demands can be reported to the police or the local manpower office (Disnaker). If you are in danger, call the police.

CNN Indonesia (official statement via media)

  • After the interview you are asked to hand over your original diploma or other original personal documents as a guarantee for the job.

What to do: Ministry of Manpower Circular M/5/HK.04.00/V/2025 bars employers from requiring or holding original diplomas and personal documents as a guarantee for the job. The only exception is a diploma or competency certificate from education or training paid for by the employer under a written employment agreement, and the employer must keep it safe and compensate you if it is damaged or lost. Otherwise, show them for checking, then take them home.

Which job scams target purchasing staff applicants?

The most common scam aimed at purchasing applicants is a fake vacancy that asks for a registration, training or uniform fee; the Ministry of Manpower says recruitment fees are almost certainly fraud. OJK's Satgas PASTI also notes that job scammers often pose as large companies and ask for bank account data. Never send a selfie with your ID card, your account number or your PIN to a recruiter who has not been shown to be real.

Frequently asked questions

Do purchasing staff need a special certificate in Indonesia?

KarirAman found no mandatory professional licence for purchasing staff in private companies. However, the Ministry of Manpower has set a procurement SKKNI (Kepmenaker 70/2016) and a supply chain management SKKNI (Kepmenaker 395/2025). Under PP 10/2018, competency certification based on the SKKNI is carried out by certification bodies (LSP) licensed by BNSP.

How can I check a company advertising a purchasing job?

Search the company name on AHU Online, the official company register, then make sure the same vacancy appears on the company's official site or accounts. OJK's Satgas PASTI advises not trusting offers that arrive by private message and confirming directly with the company. Do not pay any fee or send bank details until the company is shown to be real.

Can purchasing staff be paid below the regional minimum wage?

Not workers with less than one year of service. PP 36/2021 Article 23 bars employers from paying below the minimum wage, and Article 24 says this applies to workers with less than one year of service. Check the 2026 UMP or UMK for the area where you work and ask for a detailed payslip.

Can a purchasing staff contract include probation?

It depends on the contract. PP 35/2021 Article 12 says a fixed-term contract (PKWT) may not require probation; if it does, that clause is void by law and your time still counts as service. If you are hired as a permanent employee, make sure the probation period and its conditions are written clearly.
