What does a hotel receptionist do?

Receptionists greet guests, handle check-in and check-out, take calls and bookings, answer questions and record transactions at hotels, clinics and offices. In hotels the job is called front office and is usually split into shifts. The government set the hotel competency standard in Ministerial Decree 125/2024 on the hotel SKKNI, which guides training and skills testing.

  • Greet guests, patients or visitors and direct them to the right place.
  • Handle check-in and check-out, including identity checks and payment.
  • Take calls, e-mails and booking messages, and record them in the system.
  • Answer questions about facilities, service prices and the local area.
  • Handle guest complaints calmly and pass them to the right department.
  • Write shift reports and hand over to the next shift.
  • Coordinate with housekeeping, security and other departments.

What do you need to become a receptionist in Indonesia?

Receptionist is not a licensed profession, so no licence is required. Ads usually ask for a senior high or vocational school diploma or a D3 in hospitality, English skills and willingness to work shifts. A competency certificate helps prove your skills: under Government Regulation 10/2018, certification is done through a competency test by a BNSP-licensed body based on the SKKNI, including the hotel SKKNI.

What does a typical receptionist job description look like?

A hotel front office is the front desk department: receptionists, reservation agents, telephone operators, concierges, night auditors who check the night's transactions, and uniformed staff such as bellboys, porters and doormen who help guests and their luggage. Receptionist ads usually ask for guest service skills, English, a reservation system and willingness to work shifts. Age, appearance or marital-status requirements unrelated to the work deserve questioning, because Minister of Manpower Circular M/6/HK.04/V/2025 bars discrimination on any basis in recruitment.

General example, not a vacancy

We wrote this description ourselves from what job ads usually ask for. It is not a vacancy from any company.

Commonly requested requirements

  • A senior high school or vocational school (SMA/SMK) diploma, or a D3 in hospitality or tourism for hotel roles.
  • Able to communicate in English, especially at hotels and international clinics.
  • Comfortable with computers, e-mail and booking or administration systems.
  • Willing to work shifts, including weekends and public holidays.
  • Careful with guest records, payments and handover notes.

Skills

Spoken communication, Guest service, English, Accurate data entry, Complaint handling, Teamwork, Booking systems.

Ministry of Manpower Circular M/6/HK.04/V/2025 bars employers from discriminating on any basis in recruitment. An age requirement is allowed only where the nature of the job genuinely affects ability and it does not remove the chance of work, and the same applies to workers with disabilities. How much do hotel receptionists earn in Indonesia?

We do not show a receptionist-specific pay figure yet, for hotels, clinics or offices, because no data meets our standard: verified vacancies with a large enough sample or an official pay scale. The table below shows only the data that exists. As a floor, PP 36/2021 Article 24 applies the minimum wage, which is the 2026 minimum wage (UMK) of the regency or city, to workers with less than one year of service.

Which education routes lead to receptionist work?

The usual route is a vocational school (SMK) hospitality major or a D3 in hospitality and tourism. Front office training at a government vocational training centre (BLK or BPVP) is also open to senior high school graduates. You can then take a competency test at a BNSP-licensed certification body under Government Regulation 10/2018. To work abroad, prepare the destination's language test, such as JFT-Basic or JLPT N4 for Japan.

Can you work as a receptionist abroad?

Yes, through official routes. Japan's Immigration Services Agency says the Specified Skilled Worker accommodation field covers front office, planning and promotion, guest service and restaurant service, with the accommodation skills test plus JFT-Basic or JLPT N4. For hotels in other countries or on cruise ships, placement is legal only through KP2MI, a licensed agency (P3MI) or a company placing its own staff (Law 18/2017 Article 49).

What are working conditions and rights like for receptionists in Indonesia?

Hotel receptionists work morning, afternoon and night shifts, including weekends and public holidays, while office and clinic receptionists follow opening hours. Contracts may be fixed-term or permanent. Law 24/2011 Article 15 requires employers to register their workers with BPJS social security, and the minimum wage is the floor for workers with under one year of service.

What does a receptionist career path look like in Indonesia?

Hotel receptionists can move up to senior or shift leader, then supervisor and front office manager, who leads reception, reservations, concierge and uniformed staff, and on to the rooms division or sales. Tiered competency certificates from a certification body (LSP) licensed by BNSP, based on the hotel SKKNI (Kepmenaker 125/2024), help prove growing skills. Clinic and office receptionists often move into hospital administration, secretarial, travel consultant or office management roles.

What interview questions might you be asked for receptionist jobs?

Interview questions for receptionist jobs often cover the office software you use, accuracy with data, handling many requests at once, and keeping documents confidential. Each example below comes with why it is asked and how to answer it. The Ministry of Manpower warns that an instant chat interview without formal confirmation is one sign of a fake job.

Questions for this field

Which office software do you know well, and what do you use it for?

Why they ask: Most administrative work uses spreadsheets, word processing and e-mail every day.

How to answer: Name the software and the real tasks you did with it, such as data summaries, letters or reports. Be honest about your level and offer a short test if useful.

How do you make sure the data you enter is correct?

Why they ask: One data error can upset payments, stock or schedules.

How to answer: Explain your habits: matching against the source document, using a checklist or simple formulas, and checking again before sending. Give one example of an error you caught.

How do you handle several requests from different people at once?

Why they ask: Administrative staff often serve several departments with different deadlines.

How to answer: Describe how you order tasks by deadline and impact, keep a list, and ask your supervisor to set priorities when requests clash.

How do you keep documents and other people's personal data confidential?

Why they ask: Administrative roles hold employee, customer or patient data that must not leak.

How to answer: Give concrete steps: opening data only when needed, locking your screen, never sending work documents through personal chat, and following company rules on storing files.

Tell me about a regular report or summary you prepared.

Why they ask: Regular reports show care and consistency.

How to answer: Say what the report was, how often you made it, the tools you used, who relied on it and any improvement you suggested.

How do you handle visitors or calls while your manager is busy?

Why they ask: You are the first face of the company and you protect your manager's time.

How to answer: Explain how you greet people politely, take complete messages, offer another time, and never promise anything on your manager's behalf without checking.

Common questions that also come up (12 questions)
  • Tell me about yourself.

Answer in about a minute: where you are now in work or study, two experiences that matter for this job, then why you applied. Personal matters such as family status are not needed.

  • Why did you apply to this company?

Mention one or two real things you learned from the company's official website, such as its business or services, and link them to your skills.

  • Why are you interested in this role?

Pick two tasks from the job advert, describe similar things you have done, and say which part you most want to grow in.

  • What are your strengths?

Name one or two strengths and give short proof: the situation, what you did and the result.

  • What is your weakness?

Choose a real weakness that is not central to the job, then explain what you are doing to improve it.

  • Tell me about a problem at work or school that you solved.

Use the STAR pattern: Situation, Task, Action, Result. Focus on what you yourself did and what you learned.

  • How do you work in a team, including when people disagree?

Give a real example of listening, explaining your view politely and finding a solution everyone accepted.

  • How do you handle pressure or tight deadlines?

Explain how you set priorities, such as a task list or checking with your supervisor, and give one example of the outcome.

  • Where do you see yourself in two or three years?

Mention the skills you want to master and the responsibility you hope to take on, without promising things you cannot know.

  • What salary do you expect?

First research the pay range for the role and the local minimum wage where you would work. Give a range, then ask whether the figure is gross or net and which allowances apply.

  • When can you start?

Give a realistic date. If you are still employed, mention the notice period in your current contract so you do not break it.

  • Do you have any questions for us?

Ask about the contract type, working hours, base pay and allowances, the next selection step and when results are announced. Ask for the offer in writing.

Warning signs in interviews (6)
  • The interview happens only by WhatsApp or Telegram chat with no formal invitation, or you are pushed to be interviewed on the spot.

What to do: Ask for a written invitation from a company-domain e-mail address, then match the contact with the official website you look up yourself.

  • You are asked to pay for a test, a psychological test, a medical check-up, training or a uniform, or to book tickets and a hotel through an appointed agent with a promise of reimbursement.

What to do: Do not transfer anything. The Ministry of Manpower says legitimate recruitment does not charge applicants.

  • The interview is held in a hotel room, a private house or another closed place that is not an office, or the location keeps changing. An invitation to stay overnight, or any sexual demand, as a condition for being hired or for renewing a contract is also a warning sign.

What to do: Ask for the interview at the office or a public place, tell someone close to you where you are, and leave if you feel unsafe. Sexual demands can be reported to the police or the local manpower office (Disnaker). If you are in danger, call the police.

  • You are asked for a photo of your KTP or family card, a selfie holding your ID, your bank account number, an OTP code, a PIN or a password before any written job offer.

What to do: Do not send them. OJK says never to give an OTP, PIN or password to anyone, and identity data can be misused for illegal online loans.

  • The interview invitation arrives as an app file (APK) or a link that asks you to install an app.

What to do: Do not open it. OJK and Kominfo warn that fake APK files can read SMS messages with OTP codes and then drain bank accounts.

  • After the interview you are asked to hand over your original diploma or other original personal documents as a guarantee for the job.

What to do: Ministry of Manpower Circular M/5/HK.04.00/V/2025 bars employers from requiring or holding original diplomas and personal documents as a guarantee for the job. The only exception is a diploma or competency certificate from education or training paid for by the employer under a written employment agreement, and the employer must keep it safe and compensate you if it is damaged or lost. Otherwise, show them for checking, then take them home.

Which job scams target receptionist applicants in Indonesia?

One trick aimed at receptionists is a hotel job abroad offered by an individual or on social media, often on a tourist visa. Law 18/2017 Article 69 bans individuals from placing migrant workers, and Article 13 requires a work visa. At home, watch for uniform or training fees and interviews held only by chat, two warning signs named by Indonesia's Ministry of Manpower.

Warning signs in receptionist job ads

  • A hotel job abroad is offered by an individual instead of a licensed agency (P3MI); Law 18/2017 bans individuals from placing migrant workers.
  • You are told to travel for work on a tourist or visit visa, although Indonesian migrant workers must hold a work visa.Kementerian Hukum RI (peraturan.go.id)
  • You are asked to pay an administration, training or uniform fee before being hired.
  • The recruiter uses a free e-mail address, the hotel address is vague and the interview happens only by chat.Republika (official statement via media)
  • The sender claims to represent a large hotel chain and asks for bank or other sensitive personal details before any formal interview.Otoritas Jasa Keuangan (Sekretariat Satgas PASTI)

Frequently asked questions

Do receptionists in Indonesia need to speak English?

No rule requires it, but many hotel receptionist ads ask for English because guests come from many countries. To work on a hotel front desk in Japan through the Specified Skilled Worker accommodation field, you need to pass that field's skills test and JFT-Basic or JLPT N4, according to Japan's Immigration Services Agency. Extra languages such as Mandarin or Arabic also help.

Do hotel receptionists work night shifts?

Often yes, because a hotel front desk serves guests around the clock, so the schedule is split into shifts that include nights, weekends and public holidays. Clinic and office receptionists usually work during opening hours only. Make sure your shift pattern, days off and overtime calculation are written clearly in your employment agreement before you sign it.

Is a BNSP certificate required to work as a receptionist?

It is not required to get the job, but a competency certificate helps prove your skills. Under Government Regulation 10/2018, certification is done through a competency test by a certification body (LSP) licensed by the national certification agency BNSP, based on standards such as the hotel SKKNI in Decree 125/2024. Check that the LSP is licensed and never buy a certificate issued without a test.

Can a hotel charge me for a uniform when I am hired?

It should not. Indonesia's Ministry of Manpower says a fee in the recruitment process, for example for administration, training or a uniform, is almost certainly a scam. If a uniform is needed, ask early who pays for it and get the terms in writing. If you are asked to transfer money before you start work, stop and match the vacancy against the company's official website.

How can I become a hotel receptionist in Japan?

The official route is the Specified Skilled Worker accommodation field. Japan's Immigration Services Agency says the field covers front office, planning and promotion, guest service and restaurant service, and needs the accommodation skills test plus JFT-Basic or JLPT N4. Placement from Indonesia must go through KP2MI, a licensed agency (P3MI) or a company placing its own staff.
